Cancellation Policy

This Cancellation Policy explains how you, or IDEAI (Pty) Ltd ("IDEAI", "we", "us" or "our"), can end a service or engagement, the notice that applies, and what happens afterwards. It should be read together with our Terms of Service and Refund Policy, which govern any money already paid.

1. How to cancel

To cancel any service, email hello@ideai.co.za with your name, the service or project concerned, and the date you would like the cancellation to take effect. We will confirm your cancellation in writing. Where a service has its own in-product cancellation control, you may also use that.

2. Subscriptions and hosted services

You may cancel a subscription or hosted service at any time. Cancellation takes effect at the end of your current paid billing period — you keep access until then, and the subscription will not renew or be charged again afterwards. We do not charge a cancellation fee. Refunds for amounts already paid are governed by our Refund Policy.

3. Custom software and project engagements

You may cancel a project as set out in the relevant quote or statement of work, or — where none is specified — on reasonable written notice. On cancellation you agree to pay for all work performed and any third-party costs committed on your behalf up to the cancellation date. Completed and paid-for deliverables are handed over once any outstanding balance is settled.

4. Support and retainers

Support and retainer arrangements may be cancelled with reasonable notice, effective at the end of the current billing period or agreed term. Work already carried out and the current period remain payable.

5. Cancellation by us

We may cancel or suspend a service on reasonable notice — or immediately where necessary — if fees remain unpaid, if these arrangements or our Terms of Service are breached, if required by law, or if we can no longer reasonably provide the service. Where we cancel a paid service without cause, we will refund the unused portion as set out in the Refund Policy.

6. What happens when a service ends

When a service ends, we will issue any final invoice for amounts due. Where relevant, we will make your data or completed deliverables available for a reasonable period so you can export or take handover of them. After that period, we may delete the data in line with our Privacy Policy and our retention obligations. Terms that are meant to survive — such as payment, intellectual property and confidentiality — continue to apply after cancellation.

7. Refunds

Whether a cancellation results in a refund, and how much, is determined by our Refund Policy. In short: prepaid amounts for work not yet started or periods not yet used may be refundable, while fees for work already performed or periods already begun are not.
